
If you need more detailed information when exporting your listings beyond the one-line summary, you can create a custom report and apply it before exporting. Follow these steps:
Step 1: Create a Custom Report
- At the top of your MLS, hover over Reports.
- Select Custom Reports from the drop-down.
- Click Add New Report.
- The default property type is Cross-Property (All)—keep this setting to include all listing types.
- Enter a name for your report.
- Customize your report by adding or removing fields:
- Add fields using the Available Fields box on the left.
- Remove fields using the Currently Selected Fields box on the right.
- Suggested fields to add to your custom report:
- List Broker ID and/or List Broker Name
- Buyer Broker ID and/or Buyer Broker Name
- CoList Broker ID and/or CoList Broker Name
- CoBuyer Broker ID and/or CoBuyer Broker Name
- List Date
- Closed Date
- Any others you may find helpful!
- Click Save. This returns you to the Custom Reports section.
Step 2: Apply the Report & Export Listings
- At the top of your MLS, hover over Listings.
- Select View/Manage My Listings & Transactions from the drop-down.
- In the upper left, click All Active/Pending and choose the listing status you want to export (i.e., Closed).
- Select the listings to export by clicking the checkbox next to MLS # to select all, OR selecting individual listings manually.
- Click the Export icon (a file folder with arrow pointing down).
- Keep All Selected Listings checked and click Next.
- The default report is 1 Line Summary—click it to open the drop-down menu.
- Select your Custom Report from the list and click Next.
- Choose Excel and click Next.
Step 3: Download & Open the File
- The file download should begin automatically.
- If you don’t see it at the bottom of your screen, check your Downloads folder or the location where your device typically saves files.
- Open the downloaded file. If prompted with a security warning, click Yes to proceed.
- Save the file and rename it, ensuring the format is Excel Workbook (.xlsx).
Step 4: Edit & Customize Your File
- You can now sort, filter, and apply formulas as needed.
